The recurring charge management system allows you to modify subscription amounts and rebill dates for existing customers. This functionality is essential for adjusting customer billing cycles, updating pricing, and managing subscription changes.
Step 1: Access Customer Profile
Click Go to E-commerce.
Go to For Customers > Search.
Search for the customer and click their name in the search results to open their profile.
Step 2: Locate the Recurrings Section
Scroll down within the customer profile to locate the Recurrings section.
The Recurrings section displays all recurring charges for the customer across all statuses.
Each recurring charge shows details including the charge amount, cycle information, and next scheduled date.
Locate the specific recurring charge that you want to modify.
Step 3: Access the Edit Functionality
Within the Recurrings section, locate the Edit icon (pencil icon) for the recurring charge you want to modify.
Click the Edit icon to open the Recurring Information page.
The page displays comprehensive information about the recurring charge organized into three sections.
Step 4: Modify the Next Scheduled Charge
The Recurring Information page contains three main sections:
Next Scheduled Charge: Controls the immediate next billing amount and date.
Cycles: Manages future billing cycles with different amounts and settings.
Retries: Configures retry attempts for failed transactions.
To modify the immediate next charge:
In the Next Scheduled Charge section, locate the Next Scheduled Charge Amount field.
Enter the new amount for the next scheduled charge.
Modify the Next Scheduled Bill Date if needed.
The Number of Approved Rebills field shows the count of successful rebills (read-only).
Step 5: Manage Future Cycles
The Cycles section allows you to manage future billing periods. Each cycle row contains the following fields:
Cycle: The cycle number (sequential, read-only).
Price: The billing amount for this cycle.
Shippable: Toggle to indicate whether this cycle includes a shipment.
Bill Delay: Number of days to delay billing for this cycle.
SKU: Product SKU associated with this cycle.
Product Name: Auto-populated from the selected SKU.
Cycle management actions:
Add New Cycles: Use the New Cycle button to add additional billing cycles (maximum of 3 cycles).
Delete Cycles: Remove cycles using the trash icon in the Actions column (minimum of 1 cycle required).
Step 6: Configure Retry Settings
The Retries section manages failed transaction retry attempts. Each retry row contains the following fields:
Current Retry Attempt Number: Shows the current retry attempt for this recurring (displayed above the table).
Retry Attempt: The retry attempt number (sequential).
Retry Timeframe: The number of days (and unit) after which the retry is attempted.
Retry Amount ($): The dollar amount to charge during the retry attempt.
Retry Amount (%): The percentage of the original charge amount for the retry (linked to the dollar amount field).
Processor: The payment processor that will handle the retry transaction.
Retry management actions:
Add New: Use the Add New button to create additional retry attempts.
Delete: Remove a retry using the trash icon in the Actions column (minimum of 1 retry required).
Step 7: Save Your Changes
Review all your changes to ensure accuracy.
Verify that both the amount and date changes are correct.
Click the Save button to apply your modifications.
The system will update the recurring charge with your new settings.
Available Actions in the Recurrings Section
The actions available for each recurring charge depend on its current status:
Edit (pencil icon): Always available — modify recurring charge information including amount, date, cycles, and retry settings.
Cancel Recurring (pause icon): Available for Active and Trial recurrings — stops future recurring charges.
Run Recurring (play icon): Available for Active and Trial recurrings — manually triggers a recurring charge immediately.
Reactivate Recurring (refresh icon): Available for Complete, Cancelled, and Retry Failed recurrings — restarts a stopped recurring charge.
